Definitions

‘Company’ means Camp F.L.Y Slumber Parties and Events LLC

‘Hirer’ is the person, host/client, hiring the equipment from the company.

‘Equipment’ is the teepee(s) and other materials/décor/items specified in the invoice.

‘Period of hire’ is the period between completing the set up of the teepees/bell tent or equipment and décor) and the dismantling.

‘Hire charge’ is the amount payable by the hirer to the company as specified on the invoice.

‘Invoice’ is the form issued by the company to the hirer requesting payment of the hire charge and containing details of the equipment and period of hire.

We reserve the right to refuse a booking, but of course, treat everyone equally and fairly.

The Company Undertakes:

1. To deliver the equipment and proceed to erect it on the setup date shown on the invoice.

2. To dismantle and remove the equipment from the site on the date shown on the invoice.

3. Hirer Obligations:

1. To provide the company with a photo showing the position required for the equipment or have a representative on-site at the time of delivery for this purpose. In the absence of such instruction, the company shall position the equipment in the manner and location deemed appropriate by the company at that time.

2. Ensure the site is clean, flat, level, and firm. The company has the right to refuse to erect the equipment if the site is unsuitable.

3. No animals are allowed inside the teepees/bell tents.

4. The hirer must follow the guidelines given by the company in respect of the hirer’s conduct, safety, and minimizing damage to the equipment.

 

We make every effort to describe the equipment as accurately as possible and to keep information up-to-date. Details are given in good faith and we cannot accept responsibility or liability for differences or for any disappointment caused where a guest has differing expectations from those detailed in the description. All slumber party and event setups may not be exactly the same as you see in photos on our website or social media platforms. Camp F.L.Y Slumber Parties and Events has full discretion on what items and décor are used in a party. If you see a specific item or décor item that you would like in your party we will try our best to make sure said item is used in your party/event subject to availability.

The prices featured on the website are not binding. We reserve the right to modify these prices. The price stated at the time of confirmation is binding.

DEPOSIT AND BOOKING: A 50% non-refundable deposit/retainer will be required at the time of booking to hold your party date. We accept credit or debit only. This deposit will go towards the total cost of your party, which will need to be paid completely by credit/debit one week prior to the party.

Damage Deposit and Damage/Theft Fees: With the final payment, a $100 refundable damage/theft deposit will also be collected. After the event is over and all equipment of Camp F.L.Y Slumber Parties and Events is inspected and found to be free of stains or damage, the $100 damage deposit will be returned (within 7-14 business days following your event). If damage or stains are found on equipment or if items owned by Camp F.L.Y Slumber Parties and Events were stolen, your damage deposit will be forfeited. Host/client is responsible for damages or theft of equipment owned by Camp F.L.Y Slumber Parties and Events. Damage and/or defacement other than normal wear and tear of property belonging to Camp F.L.Y Slumber Parties and Events will result in assessment of charges and billing to the host/client. If the damage is extensive or items have to be replaced there will be additional fees charged as follows:

Excessive Cleaning Fee is $10 per item*

-Damaged Items that will need to be replaced will require the following replacement fees:

Bell tent(s)-$100 excessive cleaning fee/ Replacement fee $600 each

Teepee-$100 each

Fairy Lighting- $15 each

Inflatable Mattresses- $12 each

Memory foam mattresses $100 each

Fitted Sheets- $8 each

Pillowcases- $5 each

Blankets- $20 each

Small Rugs- $20 each

Large Rugs- $50 each

Garland-$15 each

Decorative/Throw Pillows- $15 each

Bed Tray-$20 each

Lantern- $10 each

Light box or other signage/décor- $20 each

Spa table- $100 each

Stools -$15 each

Boho Ottomans-$80 each

Vases $15-$50 depending on size of vase

Cups/glassware $15 each- if part of a set $40

CANCELLATION OR RESCHEDULE: We ask that you cancel or reschedule as soon as possible if a conflict arises. IE: inclement weather, death, or illness/ exposure to COVID-19. The 50% deposit/retainer is non-refundable, but it can be applied towards the cost of another party if held within 180 days of the original party date. If you choose to cancel our services completely and not reschedule, your deposit/retainer will not be refunded. If you cancel or reschedule the week before or the week of the party an inconvenience fee of $200 will be added to your remaining balance for the party. Exceptions of the inconvenience fee would be a death/exposure to COVID-19. Camp F.L.Y Slumber Parties and Events has the right to cancel/reschedule a party at any time should an emergency issue arise, with any staff or otherwise, IE, inclement weather, death, illness, COVID-19.

FINAL PAYMENT: All outstanding balances are due one week prior to your event by credit/debit card. Payments not received within this timeframe will result in the cancellation of your party with no exception. The remaining balance is based upon your provided final headcount and additional items.

FORMS OF PAYMENT: We accept major credit /debit cards. We do not accept checks for the remaining balance.

PETS, FOOD, AND BEVERAGE: Pets, food, and drinks are totally prohibited in the tents/teepees. Guests may eat/drink outside of the tent/teepees. Any food or stains caused by pets, drinks, or food inside or outside of the tents or any of our items will result in a cleaning fee or replacement fee listed in our Damages and Fees section above.

SMOKE-FREE ENVIRONMENT: A non-smoke environment must be provided at all times during the party and also during the tent/teepee rental. Camp F.L.Y Slumber Parties and Events will have the right to charge the client a $200 cleaning fee in case any of the items have been exposed to smoke or any other odors related to it.

RECEIPT OF DELIVERY: The host/client is responsible for being present to accept delivery of the equipment. We will wait no more than 30 minutes for someone to let us into the home/venue of choice. At the 20-minute mark we will try to contact you by phone. If there is no response we will send a text message to the phone number on file and also send you an email that we are waiting to set up and will be leaving in the next 10 minutes. If 30 minutes has passed we will be forced to leave and that automatically forfeits any funds paid by you to Camp F.L.Y Slumber Parties and Events. Please keep in mind the host/client is responsible for any loss or damage incurred if He / She arranges equipment to be delivered without being present or without an authorized agent present i.e. The host/client is responsible for losses or damage resulting from equipment being delivered to an unattended premises or location as requested by the host/client.

ALLERGIES: It is your sole responsibility to investigate the allergies of invites and guests attending the party and report this to us. It is your responsibility to ensure that a guest or invitee with allergies does not consume or come into contact with the allergens which may cause an allergic reaction.

LIABILITY: Please be aware that children must be supervised at all times while they are awake during the party. We cannot be held responsible for accidental damage caused by your guests. Camp F.L.Y Slumber Parties and Events assumes no responsibility or liability for accidents or damage caused during your party. In the event of damage or loss of our inventory and/or damage or loss to the party´s location, the responsibility lies entirely on the host/client. Camp F.L.Y Slumber Parties is not responsible for allergic reactions and/or any medical reactions from the food, beverages, wearing costumes, or any activity taking place before, during, or after the party, the responsibility lies strictly with the host/client.

PHOTOGRAPHY: Camp F.L.Y Slumber Parties and Events reserves the right to use photographs taken at your party in any promotional media controlled by us. You will make no monetary or other claim against Camp F.L.Y Slumber Parties and Events for the use of photographs taken of your children/guests. If you would like us to not use images of your child /guests please let us know by email.

TRAVEL FEE:

We service all counties in Connecticut.
Due to our unique service, we must make 2 round trips to your location, one for set up and one pick up. Travel fees will be applied to booking as follows:

25-30 miles = $50 round trip fee

31-40 miles = $75 round trip fee

40+ miles = $100 round trip fee

We may however travel slightly outside of Connecticut but we must be contacted well in advance to discuss before booking. A fee of $200 is automatically applied to parties outside of Connecticut.

Online Booking

Please check all personal details at the time of booking. We cannot take responsibility for booking or personal detail errors. All address and contact information must be correct at the time of booking for a successful payment to be processed. In the event of an unsuccessful payment we reserve the right to cancel your booking if payment is not received within 7 working days and your party will not be rescheduled.

ADDITIONAL ITEMS: You have up to 2 weeks prior to the event to add any additional guests or items so we can order supplies in advance and avoid any interruption of the service.

SPACE: Before you book your slumber party please make sure you have enough room and a clean and safe area for kids to stay. The party area must be completely clear and clean before we will setup. The overall size of the teepee and the twin air mattress combo is approximately 63"high x 50”W x 75”L. We can arrange the teepees in many different configurations to make them fit in most spaces. However, it is the clients responsibility to be sure the space is large enough to accommodate all teepees reserved. If we arrive and the teepees do not fit, there will not be any refunds. We do ask for pictures or video to survey the space before a party to determine if teepees will fit and to determine layout of the teepees. If you'll be hosting your party in a hotel or at a venue other than your home, please make sure to book a suite or a room large enough for the teepees. We will not move furniture, the area must be clean and clear before we setup. Please keep in mind that you as the host/client are responsible for all associated fees if not at your home, ie. parking fees. If the venue denies us, or you access we will give you the option to relocate the party to your home only if it is close by. If that is not an option all funds paid to us will be forfeited.

SET UP: We kindly request that no guests or children are in the set up area. We ask that no one is in the room with us during setup and breakdown. Due to COVID-19, all staff will have on their masks as we are doing the setup and breakdown. We also need for the parking area to be cleared prior to our arrival. We take between 2 2 1/2 hours to set up depending on number of teepees.

Safety: If at any time the staff of Camp F.L.Y Slumber parties and Events does not feel safe or comfortable setting up your party/event, Camp F.L.Y Slumber parties and Events reserves the right to leave. Depending on the circumstances your party may be rescheduled which any monies paid will go towards your rescheduled party/event or completely cancelled which would result in any monies paid to be forfeited.

Force Majeure: Either party may be excused from its obligation to the event in the event that acts of God, death, war, government regulations, riots, disasters or strikes renders such as performance objectively impossible or illegal.
No party shall be liable or responsible to the other party, nor be deemed to have defaulted under or breached this Agreement, for any failure or delay in fulfilling or performing any term of this Agreement (except for any obligations to make payments to the other party hereunder), when and to the extent such failure or delay is caused by or results from acts beyond the impacted party’s (“Impacted Party”) control, including, but not limited to, the following force majeure events (“Force Majeure Events”): (a) acts of God; (b) a natural disaster (fires, explosions, earthquakes, hurricane, flooding, storms, explosions, infestations), epidemic, or pandemic; (c) war, invasion, hostilities (whether war is declared or not), terrorist threats or acts, riot or other civil unrest; (d) government order or law; (e) actions, embargoes or blockades in effect on or after the date of this Agreement; (f) action by any governmental authority; (g) national or regional emergency; (h) strikes, labor stoppages or slowdowns or other industrial disturbances; and (i) shortage of adequate power or transportation facilities. The Impacted Party shall give Notice within [14] days of the Force Majeure Event to the other party, stating the period of time the occurrence is expected to continue. The Impacted Party shall use diligent efforts to end the failure or delay and ensure the effects of such Force Majeure Event are minimized. The Impacted Party shall resume the performance of its obligations as soon as reasonably practicable after the removal of the cause. In the event that the Impacted Party’s failure or delay remains uncured for a period of [14] days following Notice given by it, the other party may thereafter terminate this Agreement upon Notice.

RENTAL RETURN: Our team will arrive the next day before noon to pick up items but not earlier than 10:30 am. A tour around the teepees and items will be done prior to the breakdown. After the breakdown and going over all the items we will let client know of any issues or fees that may be applied.

Camp F.L.Y Slumber Parties and Events has provided this account of our policies and terms of service with the assumption that you have read and agree to our policies before signing the Agreement.
